1. Release Summary
Duplicate contacts accumulate over time and clutter the directory. This release introduces a Merge Contacts capability that lets Admin and Super Admin users merge duplicates, review them side-by-side, and consolidate them into a single mature primary contact — in a few clicks. Underlying declarations that already reference removed contacts remain unaffected, preserving your historical audit trail.
2. Key Enhancements & New Features
Merge Duplicate Contacts (Admin & Super Admin only)
- Overview / What's New: A new Merge Contacts workflow is now available inside the Contacts module. It lets you merge duplicate contact records, choose one as the primary contact, cherry-pick the correct values from the duplicates, and consolidate everything into a single record. The duplicates are then removed from your active contact directory, while the primary contact becomes your canonical entry.
- How it Works / How to Use:Open the Contacts module.
- Type "duplicate" in the search bar to filter and display all contacts flagged as duplicates.
- Locate the contact you want to keep as your primary (the most up-to-date one is a good candidate) and click the Merge icon on that row.
- A merge popup opens with your primary contact on the left and each duplicate contact in its own column. Attributes (Company Name, EORI, VAT, Postcode, City, etc.) are shown as rows for side-by-side comparison.
- For any duplicate cell that carries a better value than your primary, click the copy-to-primary icon in that cell to move the value across. Repeat for as many attributes as needed to mature your primary contact.
- When your primary contact is complete and final, click Merge & Close.
- All duplicate contacts in that group are removed from your active directory, and only the primary contact remains.
- Key Benefit: A clean, canonical contact directory in minutes — no more choosing between "iCustoms Ltd", "iCustoms Limited", and "ICUSTOMS LTD." on every new declaration. Historical declarations that already reference the removed duplicates are not touched, so your audit trail and past filings remain intact.
3. Important Notes
Access Restriction: The Merge Contacts feature is available only to Admin and Super Admin users. Standard users will not see the Merge icon on the contacts listing.
